Businesses come in various sizes and structures, as do the contracts they pursue. Our bid writing services, with a proven track record of over 50% success rate and full auditability, are designed to cater to every bid and tender opportunity with a tailored approach. We avoid a one-size-fits-all strategy, crafting each bid response from the ground up. Our expert bid writers create compelling and persuasive narratives that highlight your company’s unique attributes and key selling points, ensuring each response is meticulously tailored to your organization, the tender opportunity, and the buyer’s specifications as detailed in the tender documents.

Whether your business is a multinational corporation bidding in diverse sectors or a small to medium-sized enterprise seeking local government contracts, our skilled tender writers are equipped to support you. Understanding the demands of in-house bid completion—often extending to 10,000 words or more—our specialists handle the writing process to save you time and enhance your submission’s impact.

A standout bid response must be persuasive, detailed, and meticulously tailored to the specific buyer and opportunity. A generic ‘copy-and-paste’ approach is insufficient and may result in lower marks from the evaluation committee. Insufficient analysis of tender documents increases the risk of including irrelevant or non-compliant content.

Our in-house bid and tender writers, who are directly employed, follow a rigorous methodology to produce high-quality, customized bid responses:

  • Compliance: Ensuring adherence to all requirements specified in the Invitation to Tender, contract specifications, and associated documents.
  • Thoroughness: Addressing every element of the questions posed, avoiding any gaps or omissions that could impact scoring.
  • Structure: Organizing content logically, incorporating graphics, tables, bullet points, and white space to enhance readability and professionalism.
  • Clarity: Ensuring that all content flows smoothly and is easy to follow, steering clear of technical jargon or overly complex language.

Furthermore, we work closely with clients to incorporate key differentiators or ‘win themes’ into each bid. This approach highlights how your company uniquely meets the tender requirements, whether by showcasing innovative systems or technologies, demonstrating added value beyond the scope of work, or leveraging existing experience to reinforce your suitability for the project. This strategic focus ensures your bid not only meets but exceeds expectations.

Focus on your core business and growth while our expert tender writing consultants manage your bid documents, enhancing your chances of securing contracts. We are selective in the projects we undertake, only pursuing opportunities where we believe we can achieve a successful outcome. To ensure you make an informed ‘bid/no-bid’ decision, we provide an honest evaluation of your likelihood of winning based on the contract’s requirements.

Our commitment to excellence is upheld through a stringent quality management process. We rely on a dedicated team of in-house bid writers, quality reviewers, and proofreaders, rather than freelance writers, to guarantee the highest standards in your tender submission. Each submission undergoes comprehensive quality checks to ensure it meets all specifications.

Our tender writing consultants bring extensive experience across various sectors, including family-owned businesses and large corporations. This expertise is complemented by thorough market research and industry knowledge, ensuring that your tender responses are both compelling and relevant.

With a proven success rate exceeding 50%, auditable across all sectors, our team delivers consistently effective results.

Our in-house bid and tender writers adhere to a robust methodology designed to create high-quality, tailored bid responses:

  • Compliance: Ensuring full adherence to all requirements specified in the Invitation to Tender, contract specifications, and related documents.
  • Detail: Addressing each question comprehensively, avoiding any gaps or omissions that could affect evaluation scores.
  • Structure: Organizing content logically, incorporating visuals, tables, bullet points, and white space to enhance readability and professionalism.
  • Clarity: Presenting information in a clear, accessible manner, avoiding technical jargon or overly complex language.

In collaboration with you, we also develop and integrate key differentiators or ‘win themes’ into your bids. This approach highlights your unique strengths and qualifications, whether through showcasing innovative technologies, demonstrating added value, or leveraging past experience to reinforce your position as the best candidate for the contract.

Every bid response we craft undergoes meticulous drafting, review, and proofreading by our dedicated quality management team to ensure the most robust submission possible. Our bid writers follow a rigorous methodology, incorporating the following key steps:

  • Document Analysis: We thoroughly examine all tender documents to understand the opportunity’s scope, size, geographic region, and any social value commitments preferred by the authority.
  • Detailed Breakdown: We deconstruct each question to ensure that no aspect is missed.
  • Information Gathering: We conduct calls with your representatives or subject matter experts to understand your unique processes and procedures.
  • Specification Alignment: Responses are carefully aligned with the contract specifications to demonstrate how your organization will meet all requirements.
  • Clear Structuring: We use clear subheadings and signposts to facilitate easy navigation and understanding for the evaluating committee.
  • Practical Examples: Where applicable, we include industry-specific examples to reinforce the persuasiveness of your bid.
  • Value Integration: We highlight added value that goes beyond the contractual obligations, showcasing your organization’s strengths and unique selling points.

Once completed, each bid response is reviewed by our quality managers, who provide detailed feedback and suggestions for enhancements. This iterative process ensures that the response is optimized before final submission. The response then undergoes a client review to address any comments or placeholders, ensuring that the final document meets your expectations.

For organizations with internal resources and expertise to draft their own bids, our bid assessment service offers a cost-effective way to enhance your tender submissions. Here’s how it works:

Expert Tendering Intelligence — SA Procurement Best Practices
B-BBEE Maximisation: EMEs (<R10m) automatically qualify at Level 4 with a valid sworn affidavit. Black-owned EMEs qualify at Level 1. QSEs (<R50m) can qualify at Level 1 with a simplified scorecard. Prioritise ownership and management control elements — they carry the highest weighting on the generic scorecard.
80/20 vs 90/10 Pricing Strategy: Under 80/20, 80 points go to price and 20 to B-BBEE. A Level 1 bidder scores 20 pts automatically — meaning price competition happens within the 80-point band. Calculate your price-point sensitivity: each 1% above the lowest bid costs approximately 0.8 price points.
Functionality Threshold Management: Tenders above R500,000 often include a functionality phase. Design your methodology statement, CVs, and experience matrix to score above 80% — creating a buffer above the typical 70% threshold. Functionality non-compliance ends your bid regardless of price or B-BBEE status.
CSD Compliance: All suppliers must be registered on the Central Supplier Database (csd.gov.za). Your CSD profile must show: active tax compliance (SARS), valid banking details, correct directors, and no debarment. A dormant or incorrect CSD entry is an automatic disqualification.
PFMA Section 217 Compliance: Public procurement must be fair, equitable, transparent, competitive, and cost-effective. Inflate no costs beyond market rates — procurement officials are required to conduct due diligence. Cost-plus and unit-rate contracts are subject to auditor scrutiny.
Retention & Cash Flow Planning: Government clients typically withhold 5–10% retention until the defects liability period expires. Plan your working capital accordingly — you may invoice 90–95% of certified work done, with retention released 12 months after practical completion.
Performance Bond Strategy: A 10% performance bond is standard on construction and service contracts. Bank guarantees are the most credible but carry fees (0.5–1% per annum). Build this cost into your bid price under financial model inputs.
Escalation Protection: For contracts exceeding 12 months, negotiate for contractual escalation provisions linked to the CPI index. Without an escalation clause, a 6%+ inflation environment can erode your margin by 6 points per year on labour and materials.
Local Content Declarations: Sections 9(1) and 9(6) of PPPFA 2017 Regulations mandate accurate local content declarations for designated sectors. Providing a false local content declaration is a criminal offence. Use the BOQ tab to track and verify local vs imported costs.
Two-Envelope / Two-Stage Tenders: For two-stage tenders, never include pricing information in your technical envelope — this results in automatic disqualification. Ensure physical and digital envelopes are clearly labelled and separated.
Joint Ventures: All JV partners must be independently compliant (CSD, SARS, B-BBEE). The JV combined B-BBEE score uses a weighted average formula. The lead partner must hold majority equity in the JV. Register the JV entity on CSD before bid submission.
Debarment Risk: Suppliers found guilty of fraud, corrupt practices, misrepresentation, or non-performance may be debarred under Regulation 14 of the PPPFA. Use the compliance tab to self-assess before every bid. A debarment search is conducted on every bidder during evaluation.
